It is built for owners and their pets first, and it is meant to be useful even when no vet is involved. Our story ## It started with a lost logbook The idea comes from the founder's own experience of losing paper pet logbooks, and from a wider problem: moving house, changing vets, breeder handovers and shared family care all break up a pet's history. We are building a readable, attributable lifetime record that people can keep, share with the right people and carry forward. Better continuity of care and better-informed treatment are our aims. None is live yet. ### Keep several pets, of any species Create a profile for each animal: name, species, breed where it applies, sex, an optional microchip and a birth date. If a birth date is only a guess, it is marked as estimated, and stays that way. ### See who added every entry Records you enter are labelled owner-reported. Records written by a vet are labelled vet-authored with the practice and the individual. Owner entries can never be presented as clinical records. ### Record vaccinations, treatments and consultations Note what happened, when, and any next-due date or validity period written on the record. PetNFO shows the dates as recorded and never works out medical advice for you. ### Attach photos and documents Upload PDF, JPEG and PNG files. Every file is checked before it can be opened, previewed or downloaded. A file that cannot be checked stays unavailable. ### Share with family and carers One primary owner controls ownership transfers and family roles. Family members can add records and manage vet access. Carers can add records. Viewers can only read. ### Invite a vet, with an end date When a vet practice asks for access, you or a family member approve it. Access is for a set time (90 days unless you choose otherwise, or ongoing care if you explicitly pick it) and is never renewed silently. You can end it earlier. ### Choose your reminders Record appointments yourself and opt in to email or browser reminders. Quiet hours apply, and you can change or switch off any reminder. ### Hand a pet to a new owner Offer a pet and its history to a new primary owner. The offer lasts seven days, you can cancel before it is accepted, and the new owner must accept it. Your private notes and appointments are not handed over automatically. ### Download a readable history The primary owner can download a PetNFO-branded history that keeps sources and corrections visible, so a vet can read it without having an account. ### Record microchip details privately Store chip numbers from different providers, including leading zeros. Knowing a chip number does not give anyone access to your pet's record, and there is no public owner lookup. Designed to be easy ## Simple first, detail when you want it The app asks only for what is needed to save a record. Extra details, such as allergies or adverse reactions, private care contacts, insurance references and simple expense notes, are optional and added when they help you. Messages tell you what actually happened. A saved record is only called saved after it has been saved, and an unclear result tells you to check before trying again. We will test these journeys with real owners before they are offered as finished. No. You can create pets, add history and documents, set reminders, share with family and download a record without your vet taking part. Can I tell which records came from a vet? Yes. Records you add are labelled owner-reported. Records written by a vet are labelled vet-authored and name the practice and the individual. The two are never mixed up. Who can see my pet's records? Only you and the people you approve. Family members have roles from viewer to family member. A vet practice can see shared history only after an owner or family member approves, for a set period, and you can end it sooner. What happens when I end a vet's access? Further access stops straight away, even in sessions that were already open. Information they already received cannot be recalled, and PetNFO tells you so. Can I correct a mistake? You can correct entries you made as owner-reported, and the original stays visible with the correction and who made it. Entries written by a vet are corrected only by an eligible vet, with the original kept. What files can I upload? PDF, JPEG and PNG files. Each is checked before it can be viewed or downloaded. Other formats are not accepted in the first version. Can I move a pet to a new owner? Yes, that is planned. The primary owner sends an offer that lasts seven days. The new owner must accept it, and you can cancel before then. Your private notes and appointments are not handed over automatically. Does PetNFO replace my vet's own records? No. It is an owner-held record that vets can contribute to. It is not an official health certificate, and it does not replace documents required for travel or by law. ## Privacy and trust Is my pet's information secure? Veterinary practices are optional, owner-authorised contributors: with an owner's approval, eligible vets can read a pet's shared history and add clearly attributed clinical records. Reviewers check the practice and its clinical staff against applicable South African registration evidence. Approval alone gives no access to any pet. - ### The owner approves access Staff request access to one pet using the pet's reference. The primary owner or a family member approves, for a set period: 90 days unless another end date or ongoing care is chosen. Nothing renews silently. - ### Eligible vets read and add records Individually verified, eligible clinical staff at the approved practice can read the shared history and add records. Each entry names the practice and the individual vet. - ### Corrections keep the original Another eligible vet at the same practice can amend an entry with their own attribution and a reason. The original stays visible. A vet from a different practice adds a separately attributed linked entry instead. ## What practices can rely on ### Source you can see Owner-reported history is always labelled as such and is never presented as clinician-verified. ### Individual attribution The practice is the organisation holding the access grant, but every action is attributed to the individual who took it. ### Managers administer, not read A practice manager can handle staff and access requests but has no automatic access to clinical history. Only eligible clinical staff do. ### Access follows the owner's decision When an owner ends access, further actions stop. Copies already received cannot be recalled, and PetNFO says so plainly. Our boundary ## A record for the owner, not a system for your clinic PetNFO will not manage billing, inventory, internal patient administration, staff scheduling or other practice operations. Integrations with practice software may be explored after launch to improve a pet's history, if owners permit it and the interfaces allow. None is promised. A paid practice subscription is a possible later option. Its benefits are undefined, basic clinical contribution is not assumed to require payment, and payment alone never grants access to a pet. "Give the tablet at 8 in the morning as written on the label" beats a guess. ## Keeping track of changes - Agree who may add or correct entries. Most households choose one person to keep the master up to date. - When someone adds information, note who they are and when they added it. - Correct by adding a dated note, so the earlier entry is still visible. ## When arrangements end When a sitter finishes or a family member steps back, stop sharing updates and remove their access where you can. Mark anything you are unsure about as an estimate. ## In this guide - Identity details - Health history - Documents - Contacts - Habits that keep it useful ## Identity details - Name, species, breed or mix, sex and colouring. - Date of birth. If it is a guess, write "estimated" next to it so nobody treats it as exact. - Microchip number and brand or registry, if there is one. Copy it exactly, including any leading zeros. - A clear recent photo, which helps when describing your pet to someone new. ## Health history For each event, note the date, what happened, who did it and anything written on the paperwork. Typical entries are: - Vaccinations: the product name if shown, the date and the next date written on the record. - Treatments and medication: what was given or prescribed, the dates and the instructions exactly as written. - Consultations and procedures: the date, the practice and a short summary in the vet's words. - Allergies or reactions you have noticed, with when they happened. - Weight, if you track it, with the date and the unit. Copy dates and instructions as they appear. Do not reword medical information, and do not work out your own schedules. If you are unsure, ask your vet. ## Documents Keep the originals or good scans of vaccination booklets, certificates, lab results, discharge notes and invoices you may need. Name each file with the pet, the date and what it is, for example Biscuit 2026-03-12 annual check-up.pdf. Back them up somewhere other than a single phone. ## Contacts - Your regular practice, and the after-hours or emergency option you would use. - Groomer, boarding or sitter, if they need to reach you or the vet. - Insurance policy reference, if you have one. Keep the reference, not your full account details. ## Habits that keep it useful - Update it the same day, while you remember what was said. - Note the source: did a vet tell you, or are you recording something you observed? - Correct mistakes by adding a note rather than erasing, so you can still see what was recorded before. - Keep one master copy. It describes accepted design, not a live product. Every step is meant to ask for as little as possible and to say plainly what happens next. Planned journey ## Six steps - ### Accept your invitation The first pilot is invitation-only. An invitation is single-use and expires after seven days. You then confirm your email address with a short-lived link, and choose a passkey or an email-and-password sign-in. Extra protection for your account is optional. - ### Add your pet Start with a name and species. Breed, sex, microchip and birth date can be added when you have them, and a birth date can be marked as estimated or unknown. - ### Build the history Add vaccinations, treatments, consultations and documents. Everything you add is labelled owner-reported. When a vet you have invited adds a record, it is labelled vet-authored. - ### Share with the right people Invite family or carers by email, each with a role. Invite a vet practice for a set period. You can reduce or remove someone's access at any time. - ### Set the reminders you want Record an appointment and choose whether to be reminded. Reminders are opt-in, respect quiet hours and there are no automatic daily overdue messages. - ### Take it with you Download a branded history for a vet who does not use PetNFO, or hand the pet and its record to a new owner who accepts it. ## Who can do what Roles are designed so that nobody can exceed the access they were given. ### Primary owner Controls ownership transfers and family roles, manages vet access and can download the complete history. There is one primary owner per pet. ### Family member Can add records and manage vet access. ### Carer Can add records and work with practices already authorised. Cannot change schedules or access. ### Viewer Can read. Cannot change anything and receives no care reminders. It is not the privacy notice for the PetNFO app, which does not exist yet. ## Privacy on this website - It sets no cookies and uses no browser storage. - It runs no analytics, advertising or tracking scripts. - It loads nothing from other websites: the font, images and code are all served from the same place. - It has no forms and collects no personal information. This static website is hosted on a server in Cape Town and delivered through Cloudflare. Routine access logging is disabled on our website server. Diagnostic error logs may contain technical request details and are retained for up to seven days on the web server; container diagnostics have a limited storage allowance. Cloudflare also processes connection information to deliver and protect the site; its retention is managed separately. We do not run website analytics or collect information through forms. ## Who runs it PetNFO is part of NFO Collective. The legal entity responsible for PetNFO has not been established, so this notice does not name one. We will add accountable details, and a way to make privacy and access requests, when they exist. ## Accessibility We aim for this website to work with a keyboard, a screen reader, text enlargement up to 200%, reduced motion and high-contrast settings, on phones through to very large displays. Text and key interface colours are chosen to meet the WCAG 2.2 AA contrast ratios. That is an aim, not a certificate. The site has not yet had an independent accessibility audit or testing with assistive-technology users. The people and animals are fictional. They are not customers, vets or practices, and they do not imply any endorsement. We design PetNFO so that you can see who can reach it, why, and until when. This page separates what is designed from what is built, and lists what is still open. ## What we are designing in These are accepted design decisions for the first version. They become claims about the product only once they are built and checked. ### You control sharing Only people and practices you approve can see a pet's record. Each grant shows who, what and until when. Access that ends stops working, even in sessions that were already signed in. ### Sources stay visible Owner-reported and vet-authored records are always labelled. Corrections keep the original entry, plus who changed it, when and why. ### Uploads are checked first Files are scanned for malware and checked for safety before they can be viewed. A file that cannot be checked stays unavailable instead of being released anyway. ### Changes are recorded Access, record and administrator actions leave an attributable audit trail, without putting secrets or health notes in logs. ### Staff work under tighter rules Administrators, support and vets must use stronger sign-in, with a backup method. Ordinary support is not meant to browse clinical records, and any support session on your behalf is limited, time-boxed and audited. ### Sign-in that suits you Owners can use a passkey or an email and password, with optional extra protection. Sessions expire after inactivity, and sensitive actions ask you to confirm again. Honest limits ## What we do not claim - We do not claim PetNFO is "100% secure" or that you can never lose a record. - We do not claim ISO, SOC, Cyber Essentials Plus or any other certification. Aligning with a standard is not the same as being certified. - We do not claim compliance with a privacy law until it has been reviewed and evidenced. - Information a vet or family member has already received cannot be recalled after you end their access. Still open ## What has not been decided or done yet - The legal entity responsible for privacy and access requests has not been established. - Privacy notices, the access-request process and the hosting provider and region are not final. - No independent security assessment has been carried out. - No real pet or owner data is being handled. Everything shown is synthetic. How we build ## Specification first, tests first PetNFO is built from written specifications, with tests written before the code. Every published change must pass the full automated test suites, including security regression tests, and keep 100% test coverage of the tested code. Coverage is not proof of security, and we do not treat it as such. It is one of several checks, alongside dependency, secret and container scanning. Your data and the future. Selling identifiable private records is not part of the plan.
